Organization Summary:

PAX sapiens is a grantmaking and operating foundation hosted by One Earth Future. PAX sapiens uses direct grantmaking and coordination tools such as convenings, conferences, and information sharing systems to advance human security and sustainable peace. PAX sapiens has two primary issue areas we focus on: strengthening global systems for pandemic prevention and promoting better US-Chinese relationships in global fora specifically.

PAX sapiens is hosted by the operating foundation One Earth Future. For over a decade, One Earth Future (OEF) has worked to prevent armed conflict and promote stability through creative and inclusive problem-solving. As an operating foundation, OEF leverages its core funding and overseas development assistance to achieve the flexibility and scale needed to solve problems in places suffering from fragility and seemingly inescapable conflict. With offices in Austria, Colombia and Somalia, OEF positions itself as a partner of choice for governments, implementers, and donors working to prevent conflict, promote sustainable development, and enhance local governance in the most difficult places on the planet.

Primary Role:

The Controller leads the accounting team in providing critical decision support at all levels of the organization through accounting, financial reporting, and other financial modeling. This position provides a risk management voice to leadership regarding accounting policy decisions. This position will oversee the design and implementation of a new accounting system and financial reporting essential in support of a growing organization.

Functionally, the Controller is responsible for maintaining highly functioning accounting, treasury, and statutory and management reporting systems and adherence to policies. The Controller will regularly provide high quality, timely data and analysis for strategic decision support. The Controller works closely with the CFO on strategic matters, including the setting of departmental priorities, as well as representing Finance in cross-organizational working groups.

The Controller provides innovative solutions for emerging financial management needs.

This position communicates with a diverse staff in multiple locations using email, video and audio conference technology. This position must be able to communicate and collaborate effectively globally.

Compensation:

The Hiring range for this position is $142,800 – $150,000.

Location:

This position is located at the One Earth Future Foundation central office in Broomfield, CO. The central office is operating from a hybrid model currently, with two days in office and the option of three days working from home.

Primary Responsibilities:

The Controller will be responsible for a variety of accounting tasks involved with a growing non-profit organization. This position will have responsibility for the organization’s treasury, auditing schedules, payroll and AP oversight along with other accounting and managerial duties.

Policies and Systems

  • Partner with the CFO in the selection of accounting systems software implementation and administration, ensuring configurations, integrations, reference materials, and training are provided to enable users to utilize the software effectively to make timely and informed decisions.
  • Develop and maintain finance and accounting systems and processes that meet the financial management needs of the organization.
  • Coordinate and lead the annual budget process in collaboration with Chief Financial Officer and organization directors.
  • Work in coordination with the CFO to manage risk by securing adequate insurance policies.

Accounting Operations

  • Overall responsibility for all activities within the accounting department, maintaining the financial records, including Payroll, Accounts Payable, Tax and Treasury, General Ledger, Accounting Systems, and monthly close.
  • Plan, direct, and coordinate the accounts payable, accounts receivable, payroll functions, and donor financial reports, ensuring accuracy and efficiency. Prepare Federal Financial Reports and invoices, including the proper backup.
  • Manage vendor payments and employee reimbursements, including the collection and audit of W9’s for domestic and W8’s for international vendors.
  • Set up vendors in the accounting system to receive 1099’s at year end.
  • Perform processing of general and administrative expenses allocations, monthly accruals, and recording of adjusting and reclassification journal entries, if necessary.
  • Maintain filing system – file reimbursements documentation, vendors and sub-grantees files, and other financial documents.
  • Prepare month-end adjusting journal entries and monthly bank reconciliation.
  • Assist CFO on other financial and admin matters.

Payroll

  • Oversee bi-weekly payroll processing.
  • Review the payroll register and quarterly reports.
  • Review payroll reconciliations to the general ledger.
  • Oversee and ensure accuracy of employer tax filings for federal and state taxes.
  • Oversee the reconciliation of vacation, sick accruals, and FSA accounts.
  • Preparation of W-2’s and W-3 at year end.
  • Timely follow up on employer tax-related notices.

Monitoring and Reporting

  • Perform general accounts analysis and reconciliations.
  • Prepare and analyze monthly budget to actual variance reports per program.
  • Assist the CFO in the preparation of financial reports such as Statement of Financial Position, Statement of Activities, and Consolidated Summary of Activities by cost centers.
  • Conduct other activities as requested.

Required Education, Knowledge, Skills and Competences:

  • Bachelor’s degree in Accounting or a related field.
  • 7 to 10 years of professional experience managing accounting, budget, and financial reporting operations for nonprofit organizations.
  • Excellent communication, collaboration and problem-solving skills.
  • Knowledge of labor laws and payroll processing.
  • Ability to work well with management, peers, and staff in a constructive and inclusive way. Must be able to bring an open mind and cooperative attitude and accept feedback when problem-solving.
  • Demonstrated understanding and knowledge of Generally Accepted Accounting Principles (GAAP).
  • Possess sound judgment along with a high level of integrity, confidentiality, and dependability.
  • Knowledge and ability to use applicable information technology and systems to meet work needs. Proficiency in Microsoft Office (Word, Excel, and Outlook) software.
  • Strong analytical skills and experience interpreting a strategic vision into an operational model.
  • A collaborative and flexible style with a strong service mentality.

Preferred Qualifications:

  1. Large ERP experience, Dynamics GP, Paycom, SAGE Intaact, report writer software
  2. Software implementation experience
  3. CPA

Physical Work Demands:

  • Able to sit at a computer for extended periods of time.
  • Able to bend at the waist and reach on a daily basis.
  • Able to lift and move up to 25 lbs regularly.
