Description: 

The Staff Recruitment & Administration Associate for Baseball Operations will be responsible for supporting the Philadelphia Phillies' Baseball Operations department with various staffing initiatives and providing administrative support to leadership in the department. You will directly support and make a measurable impact in the hiring for multiple teams within our Baseball Operations department including Baseball Research & Development, Sports Medicine, Player Development, and Baseball Development. You will play a key role in our hiring process for our 2025 class of Associates and Interns. This position provides an opportunity for a motivated individual to gain hands-on experience in the sports industry and talent acquisition while receiving a bird’s-eye view of how a baseball operations department runs. 

This is a temporary seasonal Associate position that we would like to have start sometime in late April/early May 2024 and work through February 1, 2025. We expect this role to work around 40 hours per week but can be flexible around school schedules in April and May. This position will be based in Philadelphia, PA and will be a hybrid schedule that will require working on-site frequently throughout the season during home stands, but will allow opportunities to work-from-home on occasion. This position will be eligible to enroll in medical benefits. 

Responsibilities: 

  • Assist with recruitment efforts for Baseball Operations, including job postings, resume screening, and scheduling interviews.
  • Update and maintain the applicant tracking system (ATS) and candidate files.
  • Support candidate sourcing efforts ranging from LinkedIn searches to coordinating events such as career fairs. 
  • Proactively identify and build diverse pipelines of talent. This will include cultivating recruiting partnerships with collegiate baseball and softball programs, HBCUs, HSIs, and other colleges/universities, etc.
  • Support onboarding processes for new hires in Baseball Operations including drafting offer letters and ensuring all candidates complete background checks
  • Assist with planning and coordinating recruiting events, such as job fairs and career expos and representing The Phillies at the events
  • Conduct research and analysis to identify new recruiting sources and strategies for Baseball Operations.
  • Perform administrative tasks, such as drafting correspondence and maintaining department records.
  • Provide occasional administrative support to department leadership group

Required Qualifications: 

  • Currently enrolled in or recently graduated from a Bachelor's or Master's degree program in Business Administration, Human Resources, Sport Management/Administration, or a related field.
  • Strong communication skills, both written and verbal.
  • Detail-oriented with excellent organizational skills.
  • Proficient in Microsoft Office Suite and ability to learn new software applications quickly. 
    • Comfortable with and able to demonstrate ability to perform advanced functions in Microsoft Excel. 
  • Knowledge of baseball and the sports industry, able to demonstrate an understanding of the different functions that exist within a baseball operations department
  • Ability to work independently and as part of a team.
  • Positive attitude, willingness to learn, humility, and a competitive spirit

Preferred Qualifications: 

  • Exposure to the types of roles that a Baseball Operations department typically hires for such as scouts, analysts, sports medicine professionals, coaches, etc. through previous work experience or as a collegiate athlete in softball or baseball.
  • Coursework or experience related to the Human Resources field, particularly with a strong attention to detail for drafting documents such as contracts, offer letters, and employment agreements. 
  • Experience providing administrative to support to executives or C-Suite professionals
