Position overview:
The Executive Assistant will assist a Partner and their team within Portage. The Executive Assistant's mandate is to work closely with the Partners and oversee the daily work and lend assistance as needed according to the Sagard / Portage core business values. The EA is expected to provide efficient administrative and clerical support and manage multiple priorities while creating an appealing and healthy working environment
Your Responsibilities:
- Manage, coordinate and maintain complex calendars.
- Provide full range of administrative support to Partners and team members.
- Work in correlation with other EAs and Office Coordinators to create standardized policies and firm processes.
- Act as a point of contact for internal and external stakeholders (e.g., vendors, clients, colleagues, shareholders, etc.)
- Respond to email requests and triage to appropriate team members.
- Support reception duties as needed (e,g., setting up meetings, coverage at the front desk, etc.
- Liaise with board members and management committees to schedule meetings, set up conference calls, and organize various corporate events.
- Prepare documentation for presentations and meetings.
- Maintain databases and contact directories.
- Coordinate travel, including flights, hotels, meetings, meals etc.
- Complete expense reimbursement for Partners and team members.
- Support the EA cross-functional team structure and assist the EA Team Lead as needed (e.g., help organize internal events, provide vacation coverage, etc.)
- Maintain electronic filings as required.
- Take on special projects as needed.
Experience & Qualifications:
- 2+ years of experience in a similar role supporting senior management.
- Knowledge of Google suite and CRMs (e.g., DealCloud and Affinity) a strong asset
- Strong organizational skills and autonomy.
- Experience with Venture Capital or startups ideal.
- Ability to work under pressure in a team environment as well as independently.
- Discreet, reliable, thorough, and exercises good judgment.
- Excellent interpersonal and communication skills with strong attention to detail
- Demonstrate availability and ability to adapt, have a quick turnaround time, and good speed of execution.
- Team player who collaborates with multiple levels including external stakeholders
- Patient, flexible and adaptable to changing priorities
