Position Summary

Precise Capital, a private investment group headquartered in Fort Worth, Texas, is seeking an Executive Assistant to support a small team, work closely with the founder on strategic initiatives, and drive standards of excellence in business administration support functions, including general office management and meeting facilitation. While relevant experience as an executive assistant may be helpful, we are most interested in capabilities and character traits that tie to success. This role will be mostly onsite during normal business hours with a periodic need to be on call after hours or on weekends. Some travel will be necessary, such as for quarterly off-sites.

 

Responsibilities

  • Provide general executive assistant support to the principals, including scheduling assistance, arranging travel, and handling a wide range of tasks and projects that will free them to spend more time on business priorities
  • Provide focused support to the founder, including calendar management and facilitating a “Getting Things Done” (GTD) style weekly review meeting that covers both business and family activities, strategizing about top priorities, and creating calendar blocks for future activities
  • Serve as the group administrator for the founder's YPO group, driving the membership process throughout the year and planning two retreats
  • Maintain standards of excellence in the office environment, including ordering supplies, managing catering, making coffee, and ensuring an overall pleasing office aesthetic
  • Facilitate meetings, including preparing materials, recording, and following up on action items; also prepare summaries of audio recordings for easy, quick recaps
  • Organize quarterly meetings, including preparing the agenda, reports, and binders, as well as coordinating food and logistics
  • Facilitate the team’s implementation of the Entrepreneur Operating System (EOS), including facilitating the build-out and status management of Rocks and management of L10 meetings
  • Facilitate the team’s use of employee management using a variety of in-house employee satisfaction tools
  • Proactively add contacts to CRM, capturing pertinent information about relationships
  • Plan company events and annual holiday party
  • Coordinate onboarding and offboarding of employees, including arranging for software access, parking, badges, etc.
  • Independently conduct research to deepen knowledge on tools and topics that support business objectives and the ability to do this job well
  • Represent the firm and principals in interactions with business associates and other key relationships, including coordinating travel when needed and ensuring needs are met prior to meetings

 

Education & Experience

  • 7+ years of career experience that demonstrates achievement using skills that transfer well to this job
  • Experience as an Executive Assistant, Chief of Staff, or similar role with cross-functional responsibilities, the need for exceptional attention to detail, and experience working closely with senior executives
  • Experience working with YPO members is a plus
  • Experience in an investment firm or a similar sophisticated professional services environment is a plus
  • Experience using modern software applications for project management, communication, and data visualization
  • Experience that demonstrates the ability to interface professionally and successfully with executives and discerning clientele
